Cubbit Srl, (collectively “Cubbit”, “we” or “us“, “our“) with its registered office registered office in Via della Zecca 1, 40121 Bologna, VAT no. 03562001200, is the controller of the “Personal Data”, i.e. the information that identifies either directly or indirectly any potential candidates.

How This Policy Applies

This Policy applies to Cubbit’s processing of applicants' personal information in connection with the Cubbit career page on cubbit.io and Cubbit’s recruiting activities in general, conducted both offline and online via third party websites.


Which Personal Information We Collect

Cubbit collects personal data directly from you and other available sources, to the extent relevant and permitted by applicable local law.

Cubbit is committed to collecting only personal data that is adequate, relevant, and limited to the purposes required during the recruitment process. This includes your name, address, contact information, photographs and videos, background check information, compensation details, ability and suitability for a position, achievements, and test results.

We may also gather similar personal data about you from third parties, such as professional recruiting firms, your references, and prior employers, as permitted by applicable law. This helps us gain a comprehensive understanding of your qualifications and experience. Additionally, we may collect publicly available personal data about you online. For instance, we might review your profile on professional social media platforms (such as LinkedIn) to identify and contact you about suitable roles.

Cubbit does not seek to obtain, and will not collect, sensitive personal data about candidates.

Why & How We Use Your Personal Information

We use personal information for the following purposes:

  • To communicate with you and respond to your requests or application:
    For example, we may update you on the status of your application, inform you about new vacancies, or invite you to participate in recruitment activities such as phone or in-person interviews.
  • To identify and evaluate applicants for potential employment, as well as for future roles that may become available:
    We process information about you to match the right candidate with the right job at Cubbit and to assess your suitability for a position. We may include your information in our recruitment databases to manage Cubbit’s candidate selection and hiring processes. If you are selected for a position at Cubbit, your information will also be used to facilitate the onboarding process.
  • To comply with applicable laws and regulations and to operate our business:
    In some cases, we may process information about you to meet legal and regulatory requirements.

Who Has Access To Your Data

At Cubbit, we take our responsibility to protect your personal data seriously. We implement appropriate access control measures to ensure that your information is accessed only by those with a legitimate need to know.

Specific personal data, such as your resume, job history, and other information relevant to assessing your suitability for the position you have applied for, will be shared as necessary with the Cubbit team you are seeking to join, other relevant stakeholders within Cubbit connected to the role, and appropriate members of the Human Resources Department.

Your personal data will be processed exclusively by our team and will never be sold to third parties.

Where We Transfer Your Data

We store and process your data primarily within the EEA territory.

However, we shall use the services offered by third parties, e.g. service companies, in particular in developing the hiring process (e.g. employee experience management platforms, email marketing platforms, recruiting platforms)  that may be based outside the EEA.

For this purpose, it may be necessary to transfer certain Personal Data to these Third Parties, who in such cases act as data processors on our behalf. Such transfer and processing by third party companies, if based outside the EEA, takes place on the basis of an Adequacy Decision by the European Commission or by signing Standard Contractual Clauses adopted by the European Commission. We ensure that these third parties adhere to the same high standards of data protection and security that we do.

What Is Our Basis For Processing?

Our processing of your Personal Data for the purposes mentioned above is based:

  • on our legitimate interest in evaluating your application to manage our relationship with you and to ensure that we recruit the appropriate employees, and to evaluate and maintain the efficacy of our recruiting process;
  • on our need to perform contractual and precontractual measures in respect of our relationship with you;
  • to comply with the law, when certain information is necessary to satisfy our legal or regulatory obligations.

In case you were not selected for the position but we would like to contact you about future job opportunities that may be of interest to you, we may process the relevant contact and related information provided by you as part of your initial application, based on our legitimate interest to find the best possible candidate for the position.

How Long We Will Retain Your Personal Data

Cubbit will retain your personal information related to your application for a position (such as your curriculum vitae/resume or the position to which you applied, assessment results) for up to three (3) years from the date you applied (unless a longer or shorter period is required by applicable law).


Your Rights

You have certain choices and rights in relation to our use of information about you, such as the right to access, correct and update, erase or delete, and obtain a copy of your Personal Data.

  • Withdraw consent - You may request to withdraw the consent you previously provided for the processing of your personal information.
  • Delete personal information - You can erase or delete all or some of your personal information provided to us.
  • Change or correct personal information - You can edit some of your personal information.
  • Object to, or limit or restrict use of personal information - You can ask us to stop using all or some of your personal information.
  • Right to access and/or receive a copy of your personal information - You can also obtain a copy of some of your personal information we have collected.

In accordance with applicable law, if you wish to exercise such rights, please write to privacy@cubbit.io. We may ask you to verify your identity.
